Terms & Conditions

(Updated 28/10/2025)

General Information
All design work is bespoke and priced individually to meet your needs.

To enable me to provide an accurate price I request information on design style, images of styles to your taste are useful, colour schemes and likes/dislikes for your design, along with any existing branding which you would like to incorporate.

Content for designs such as price lists, leaflets, manuals, websites etc should be provided in a digital format, preferably on a Word document or similar. If you require the content of your design to be composed by me, such as leaflet wording this must be discussed prior to a proposal being issued.

If your design is to include images these can be stock images. If you wish to provide images the quality of images is solely customer responsibility.

Turnaround time for proofs is varies depending on workload, this will be discussed at the time of booking.

Proposals

Once a proposal is issued it is valid for 30 days, issue date will be shown on your proposal.

If you do wish to proceed, please contact me prior to making any upfront payments if your proposal has expired.

Payments

50%  design payment is required upfront with the remaining balance due 30 days from initial payment date.

Any outstanding design work will continue until completion.

Why 50% payment upfront?
All branding involves hours of research and work prior to beginning your designs, in order to protect my business, once the 50% upfront payment has been made, your order is no longer eligible for a refund.

What is your turnaround time?

Turnaround time varies depending on current workload and for each project, this will be discussed prior to work commencing. Timeframes are subject to change, should this be the case you will of course be informed with as much notice as possible.

Design Process
As explained above, when issuing a proposal this will be based on discussions around your preferred design styles, using images as reference points. If we feel there needs to be more visuals before beginning the design process I will put together a moodboard, schedule a call and create a rough proof as a starting point to work from.

This enables all parties to have open discussions regarding the direction of the design before spending hours on a design which may not be suitable. This process is in place to protect my business and yourself as a customer.

Once we are happy that the design is heading in the right direction I will send over further proofs and we will work through a proofing process making amendments as necessary. From colours, to readjusting the design layout etc. All while remaining on the original path, to minimise the quantity of amendments required.

When working on branding package, logo designs are fully proofed and finalised before moving on to any additional branding. Once the logo design is finalised and branding work has begun any further amendments to your logo will be chargeable at an hourly rate.

Proof Checking/Approving Final Designs

It is your responsibility to ensure your finished designs have been proofed thoroughly. This is particularly important with Price Lists, Leaflets and Manuals, as there is a significant amount of text and human error can occur.

If there is an error in the design once prints have been order, Jemma Farmer Graphic Design are not responsible if design has been approved by yourself (the client) with the error present. If these is an error in the printing process which has occurred as a result of an error after the files have been approved, this is the responsibility of Jemma Farmer Graphic Design.

Policy on Concept Deviation, Indecision, Lack of Communication, Excessive Absence/Time Lapses, Abuse

Concept Deviation: If, at any point during your order, I determine that your requests are outside of the scope of what you have paid for, I will provide written notice to you of our recommendation that your order be transferred to an hourly rate.

This includes: Excessive revisions, changes to finalised files, requests to re-design items, excessive requests to modify your order from what was previously discussed, or excessive indecision may result in your order being converted to an hourly rate.

All designs work includes a ‘reasonable’ quantity of amendments and I work incredibly closely with customers to ensure each step meets your needs. My aim is always to create the perfect design for your business. However, If the design changes style from that originally discussed I reserve the right to charge for further amendments.

I do not limit the number of changes but must stipulate that should I deem the amendments are becoming excessive I will discuss this with you prior to charging any additional fees. At any time, I may halt the branding and request that you reevaluate if I feel that the process has gotten off track or too many changes that deviate from the original idea or concept have occurred.

Lack of Communication, Excessive Absence/ Time Lapse, Abuse: Should an excessive absences not previously communicated, or major lapses of time occur during the branding process, I reserve the right to terminate the client-designer relationship at any time with no refund or option to finalise previously presented files. This also applies to abuse.

The Lack of Absence policy is to protect my business. Should a situation arise where I am unable to make contact with you for a number of months, I am left with no choice but to terminate the contact. This is due to client workflow and cost of living. All I ask is if you are having difficulties please communicate this with me and we can place your order on hold.

Abuse will not be tolerated under any circumstances. I pride myself on running a business to support others and a large part of this is focused around positivity. We face enough challenges in business and life in general, so this is not something I will tolerate within my business.

Layer files and design elements

Should you wish to purchase elements of your design, such as icons, artwork these can be discussed as standard-alone items if designed by myself. On occasions some elements (such as large floral elements) are purchased from external artists, I maintain strict policies on these elements to ensure that I meet any licensing agreements with artists that I work with.

Font Licenses

I am happy to provide typography information to you, but will do so at the conclusion of your order when the design is finalised and the balance is settled

I have access to a large font library, however, should you wish to use a specific font which is not in my library the purchase cost would need to be added to your design fee. Due to font licensing, I do not, and cannot, provide font files to you as part of your order, therefore should you wish to use the font for any branding you create, you must purchase the fonts so that they are licensed to you.

Disclaimer & Client Responsibility

Pre-made logos are re-sold, and may not be trademarked or considered one-of-a-kind or unique. Custom logo and branding orders are based solely on information that a client provides, and designs are created from based on that information. No designs provided as reference will be duplicated.

Printed Materials

Jemma Farmer Graphic Design offers an outsourced printing service. As per the section regarding Proof Checking/Approving Final Design it is imperative that you have fully proofed your files before approving for print.

If you choose to order your prints though a print service of your choice Jemma Farmer Graphic Design is not liable for any issues that may arise when you send your items to print, or if you design items on your own with the logo and other materials I provide. If you opt for design only service I require your print companies specifications and I will ensure that the files provided meet your printer’s specifications. I recommend reviewing proofs of your print before submitting your order, as I cannot reimburse for what is perceived to be a poor print.

If your printed materials contain gold foil or other metallic texture – please be advised that not all printers are created equal. I highly recommend that if you want to include gold or other metallic accents in your brand that you choose a quality printer or I am happy to source these for you.

If you plan to invest in large signage or other large printed materials Vector files will be needed, this information is needed prior to beginning design work. While I can provide a file that is scaleable to any size, certain details in highly complex watercolour artwork can be lost during the process.
